Printers
Multiple black and white and color printers are available on each floor of our offices. For a list of printers, locations, and capabilities, go to Printers - Beale or Printers - China Basin. Got a paper jam, the printer needs toner, or you can't get a printer to work? Contact the Helpdesk. IT is responsible for installation, maintenance, and troubleshooting of all printer problems. The Helpdesk checks weekly to ensure that each printer has sufficient paper and toner.
User Guidelines
- Employees may use any of the network printers located at their office location.
- Personal printers are not allowed on the network
- Network office printers may be dedicated for use by a specific individual or work group on an as-needed basis only (e.g., for confidentiality reasons). We strongly prefer that you use existing network printers since supporting individual printers is not an efficient use of Helpdesk resources. Be prepared to make your case to the appropriate executive committee. Once approved, contact the Helpdesk to arrange purchase and installation.
- Use the color printer for COLOR printing only. Use regular printers for black and white printing. Also, if color isn't really needed, opt to print black and white copies instead.
- Print color PROOFS only on color printers. If multiple copies are needed, outsource this to a vendor such as Kinko's.
- Envelopes should not be printed on the color printer.
- Tray 1 is for standard 8.5 x 11 printing. Tray 2 is for special use manual feeds (e.g., 3-hole punch, labels, and transparencies). Tray 3 is for manual feed, legal size, 11 x 17, printing.
- Make sure to use labels and transparencies specifically designed for laser printers.
- When doing manual feeds, remember to remove any unused paper/labels from tray 2.
- Save paper whenever possible by printing double-sided (designated printers only) or multiple pages per sheet of paper (all printers) up to 16 pages per sheet. Go to the Green Committee web page for instructions on setting up your print jobs for this purpose.
- Remove printouts from printers promptly. Be especially careful when printing confidential or restricted data.
